ClickUp vs Baserow 2026

Short answer: pick ClickUp if your team runs projects with Gantt charts, sprints and time tracking; pick Baserow if your primary need is a structured database, EU data residency or self-hosting on a tight budget. These tools share almost no use cases, which makes the choice easier than it looks.

The angle nobody covers: ClickUp's AI add-on ($9 to $28/user/month) is charged workspace-wide even if only two people use it, which can inflate a 10-person Business plan by 75%. Meanwhile Baserow's free tier is capped at 3,000 rows per workspace, not unlimited as many articles still claim. Both facts change the real cost calculation significantly.

Five rounds

Criterion by criterion, head to head

The same five criteria scored on each tool's review page. Scores are exact mirrors.

Round 1 · Ease of use

01 Round 1: getting the first workflow live.

ClickUp
3.0/5
WinnerBaserow
Baserow
4.4/5
Our verdictEase of use · Winner : Baserow

Baserow wins this 4.4 to 3.0, and the gap is not surprising once both tools are opened side by side. Baserow's onboarding is one of the smoothest in the no-code space: first database created in under five minutes, non-technical clients trained in two hours, grid view familiar to anyone who has used a spreadsheet. The interface stays clean even with twenty-plus fields, which is where Airtable and older tools break down.

ClickUp is a different animal. We counted eight navigation levels (workspaces, spaces, folders, lists, tasks, subtasks, custom fields, views) and tested with three client teams across startup, agency and SaaS contexts. Every team needed two to three weeks before reaching real productivity. The sheer density of options is a strength once mastered and a barrier before that. Templates (100-plus) accelerate setup, and search is genuinely fast, but the initial cognitive load is real and should be budgeted for. The honest bémol on Baserow: formula syntax and the Interface Builder each require roughly one hour of documentation time to unlock their depth.

ClickUp

Choose ClickUp if the two-to-three-week onboarding investment is acceptable and the all-in-one depth is what you are after.

Baserow

Choose Baserow if the team needs to be operational within a day and databases are the primary use case.

Round 2 · Value for money

02 Round 2: where the bill actually lands.

ClickUp
4.5/5
WinnerBaserow
Baserow
4.7/5
Our verdictValue for money · Winner : Baserow

Baserow edges this 4.7 to 4.5, but the answer depends on what the team actually does. ClickUp wins on raw entry price ($7/user/mo vs Baserow's $10/user/mo annual), and its free tier offers unlimited tasks. So far ClickUp looks cheaper. Then the AI add-on enters the conversation.

ClickUp's Brain AI ($9/user/mo) is billed workspace-wide. Adding it to a 10-person Business plan costs an extra $90/month, which is $1,080/year for what might be five active users. The Everything AI tier ($28/user/mo workspace-wide) means a 20-person team pays $6,720/year in AI alone. The dossier's arithmetic for a 10-person agency on Business plus Brain AI: $210/month ($2,520/year) versus $120/month ($1,440/year) without AI. That is a 75% cost increase. On the Baserow side: 5-person startup on Premium annual at $50/month ($600/year), versus ClickUp Unlimited at $35/month. ClickUp is cheaper for pure task management with no AI. Baserow wins on total cost of ownership for database-heavy teams, EU teams needing a DPA, and any team considering 20-plus users or self-hosting, where cloud costs disappear entirely after the licence fee.

ClickUp

Choose ClickUp if the team only needs task management and will skip the AI add-on.

Baserow

Choose Baserow if EU hosting, self-hosting or 20-plus users make total cost the deciding factor.

Round 3 · Features and depth

03 Round 3: raw power and what each tool actually replaces.

ClickUp
4.5/5
WinnerClickUp
Baserow
4.0/5
Our verdictFeatures and depth · Winner : ClickUp

ClickUp takes this 4.5 to 4.0, and the reasoning is straightforward: Baserow is a database tool and ClickUp is a project management platform. They are not competing in the same category, which means the feature comparison is somewhat asymmetric by design.

ClickUp covers 15-plus views (Kanban, Gantt, Timeline, Workload, Map, Mind Map), native time tracking, Docs, Chat and AI super agents with conditional automation logic. For teams currently paying for a task manager, a docs tool, a time tracker and a chat app separately, ClickUp genuinely consolidates. Baserow answers on a different axis: relational linked records, formula fields, Interface Builder for custom app views, and MIT-licenced open-source code. For structured data (CRM, inventory, content calendar, recruitment pipeline), Baserow offers depth that ClickUp's custom fields cannot match. The bémol on ClickUp: automation branching is only available from Business plan, Docs editor has image alignment quirks flagged by multiple reviewers, and Chat feels secondary to dedicated tools. The bémol on Baserow: no Gantt view, no native time tracking, no mobile app, automation logic lacks conditional branches (if/then/else).

ClickUp

Choose ClickUp if project management views, time tracking and replacing several tools in one subscription are the priority.

Baserow

Choose Baserow if structured relational data, custom app interfaces or API-driven integration development are the core need.

Round 4 · Customer support and assistance

04 Round 4: who answers when it breaks.

ClickUp
4.0/5
WinnerClickUp
Baserow
3.2/5
Our verdictCustomer support and assistance · Winner : ClickUp

ClickUp wins this 4.0 to 3.2, and the gap reflects a real structural difference. ClickUp offers 24/7 live chat even on the free plan, with response times under ten minutes in our tests. ClickUp University (free courses), a 100,000-plus member community and a 500-plus article Help Center mean most questions have documented answers. Dedicated Customer Success Managers arrive at Enterprise, and the four support contacts made during testing all resolved within 48 hours.

Baserow's support is email-only (24 to 48 hours for initial reply), even on paid plans. No live chat at any tier. The community forum has 5,000-plus members including developers who respond to technical questions, and the open-source codebase lets technical teams self-troubleshoot by reading the code. That is a partial but genuine offset. The honest context: Baserow's lower price partly explains the lighter support layer, and teams with internal technical resources will navigate it fine. Teams that need hand-holding on urgent production issues should factor the live-chat gap into their decision.

ClickUp

Choose ClickUp if fast, live support access and extensive learning resources matter for the team's adoption plan.

Baserow

Choose Baserow if the team is technically self-sufficient and can work from documentation and community forums.

Round 5 · Available integrations

05 Round 5: 1,000 native connectors versus a world-class API.

ClickUp
4.5/5
WinnerClickUp
Baserow
4.3/5
Our verdictAvailable integrations · Winner : ClickUp

ClickUp edges this 4.5 to 4.3. On raw native count there is no contest: 1,000-plus bidirectional connectors (Google Workspace, Slack, GitHub, Figma, Salesforce, Zoom) available on every plan including free, versus Baserow's six automation platform integrations plus REST API. For teams who need to connect mainstream SaaS in minutes without middleware, ClickUp wins cleanly.

Baserow closes the gap with a different strategy. Its REST API has generous rate limits (1,000 requests per minute on paid plans), clean Postman collections, and webhook support for real-time custom triggers. The Make integration is particularly robust with pre-built modules tested across multiple client projects. For teams already running Make or n8n, Baserow slots in with minimal friction and effectively reaches any app with an API through that middleware layer. The caveats on both sides: some ClickUp integrations require Business-plus for full field mapping (Salesforce advanced sync), and several community reviewers flagged occasional sync delays. Baserow's limitation is the extra step of learning an automation platform before connecting simple apps.

ClickUp

Choose ClickUp if the team wants one-click native connections to mainstream tools without learning automation platforms.

Baserow

Choose Baserow if Make or n8n are already in the stack and API flexibility matters more than native connector count.

The shortlist

Pick by scenario

Choose ClickUp if…

  • The team manages projects with Gantt charts, sprint tracking, workload views or timeline planning, which Baserow simply cannot provide
  • Replacing four to five tools (task manager, docs, time tracker, chat, dashboards) in a single subscription is the goal and the AI add-on cost is factored in
  • Native integrations with Slack, GitHub, Figma, Salesforce or Google Workspace are needed within minutes, without building middleware
  • AI automation embedded in tasks and docs is a workflow requirement and the Brain AI add-on cost ($9 to $28/user/mo workspace-wide) is acceptable
  • Field or remote teams need a polished iOS and Android app for on-the-go task updates and time logging

Choose Baserow if…

  • The primary need is a structured database or no-code app (CRM, inventory, content calendar, recruitment pipeline) rather than task or project management
  • The team is EU-based or handles sensitive data requiring assured residency in Germany or the Netherlands, native GDPR compliance and zero CLOUD Act exposure
  • Self-hosting for full data sovereignty, internal security policy compliance or elimination of per-user cloud costs is a hard requirement
  • Migration from Airtable is planned and a 50% cost reduction at comparable tiers ($10 vs $20/user/mo) is a meaningful factor
  • The free tier needs to hold real data: Baserow's 3,000-row and 2GB free plan stores far more usable data than ClickUp's 60MB storage cap

FAQ · 10 questions

Frequently asked questions

  • Is ClickUp or Baserow better for small teams?
It depends on the use case. ClickUp's $7/user/mo Unlimited plan covers task management, docs and integrations, making it strong for teams centralizing project workflows. Baserow's free plan (3,000 rows, 2GB) is better for structured data storage like a CRM or inventory tracker. For a five-person team needing task management with zero budget: ClickUp Free. For a five-person team building a database or no-code app with zero budget: Baserow Free. The tools address different problems and combining both free tiers is a legitimate option.
  • Is Baserow really free?
Yes, the cloud free plan has unlimited databases and unlimited users, but is capped at 3,000 rows and 2GB storage per workspace. That covers roughly 400 to 1,000 records depending on field complexity. Many articles still claim the free plan has unlimited rows, which was the case before the 3,000-row cap was introduced. For unlimited rows with no cloud costs, self-hosting via Docker is the route. Source: baserow.io/user-docs/pricing-plans, June 2026.
  • ClickUp vs Baserow vs Airtable: which to choose?
ClickUp for project and task management with 15-plus views and native time tracking. Baserow for EU-hosted, open-source, self-hostable databases at half Airtable's price ($10 vs $20/user/mo on comparable paid tiers). Airtable for a more polished mobile experience and richer templates, but at twice Baserow's cost. If the team needs both task management and structured databases, pairing ClickUp (tasks) with Baserow free (databases) is a stronger combination than either tool alone for those combined needs.
  • Can you migrate from ClickUp to Baserow?
Data can be exported from ClickUp via CSV and imported into Baserow, but the migration is not one-to-one. Baserow is a database tool, not a project manager. Task hierarchies (spaces, folders, lists, subtasks), automations, time-tracked data and view configurations do not transfer. Budget two to four hours per major project for data export and import, plus significant workflow redesign. There is no official migration wizard on either side.
  • Is Baserow GDPR compliant?
Yes. Baserow B.V. is a Dutch company (EU jurisdiction), cloud data is hosted in Germany, and the platform holds SOC 2 Type II, GDPR and HIPAA certifications. Data Processing Agreements are available on paid plans. Self-hosting provides complete data sovereignty with zero Baserow access to the data. Source: baserow.io/product/security and europeanstack.com/software/baserow, June 2026.
  • Does ClickUp have a GDPR-compliant option?
ClickUp is GDPR compliant and offers Data Processing Agreements, but only on the Business plan ($12/user/mo annual) and above. Free and Unlimited plan users cannot obtain a contractual DPA. Data is stored in the US (ClickUp Inc. is Delaware-incorporated), meaning EU-US data transfers rely on Standard Contractual Clauses, which carry residual CLOUD Act exposure risk. Source: clickup.com, June 2026.
  • What is the ClickUp AI billing gotcha?
ClickUp Brain and Everything AI are workspace-wide add-ons, not per-user activations. Adding Brain AI ($9/user/mo annual) to a 20-person workspace costs $180/month extra, even if only five team members actively use it. There is no selective tier mixing: all workspace members are billed at the same add-on rate. For a 10-person Business plan team adding Brain AI, the monthly bill rises from $120 to $210, a 75% increase. Always calculate AI cost against full headcount, not just active AI users.
  • What is the cheapest way to use Baserow for a growing startup?
Start on the free cloud plan (3,000 rows). When that cap is reached: upgrade to Premium ($10/user/mo annual, 50,000 rows) or self-host on a $5 to $10/month VPS using Docker. Self-hosting with a Premium licence ($10/user/mo annual) gives unlimited rows and storage with no cloud data caps. That is the best value path for a technical founding team. The August 2024 plan restructure increased Premium rows from 10,000 to 50,000, making the paid tier significantly more useful than older comparisons suggest.
  • Does ClickUp slow down with large teams or workspaces?
Yes, tested with a 30-person team managing 5,000-plus tasks. Dashboard load times increased to three to five seconds and large Gantt views lagged. The desktop app performs better than the browser version for large datasets. Archiving completed tasks and using filtered views rather than loading entire workspaces mitigates the issue. Baserow maintained sub-second load times on filtered views with 75,000 rows on an Advanced plan during testing. Source: in-repo clickup.json review, tested 2026.
  • Can Baserow replace Airtable?
For most use cases: yes, at around 50% of the cost. Baserow covers grid, kanban, gallery and form views, relational linked records, formulas, automations and API access. The gaps are: no native Airtable import wizard (manual CSV migration taking one to two hours), no timeline or Gantt view, fewer native app connectors, and some users note UI polish still lags Airtable slightly. For teams primarily paying for Airtable's database features rather than its project views, Baserow is a direct cost-effective replacement. Source: in-repo baserow.json review, tested 2026.
