SmartSuite Review 2026
SmartSuite is a no-code work management platform that pulls project management, process management, and document collaboration into a single workspace. Think structured records and 40+ field types like Airtable, multiple project views like Monday and ClickUp, plus automations, dashboards, and an AI Agent Studio on top. It was founded by the team that built and sold Archer Technologies in the GRC space, which shows in how seriously it takes permissions, audit logs, and compliance. Paid plans run from $15 to $50 per seat per month on annual billing, with a genuinely usable free tier for up to three editors.
In this SmartSuite review we score the platform across five criteria: ease of use, value for money, features and depth, customer support, and integrations. We break down the real pricing picture (and the automation-quota numbers that do not match between SmartSuite's own pages), give you a straight SmartSuite vs Monday, vs ClickUp, and vs Airtable comparison, and explain why our score sits below the near-perfect community average. If you are choosing a work OS in 2026, this is the SmartSuite review to read before you commit a team.
SmartSuite, scored.
Our review of SmartSuite in summary
SmartSuite is one of the more capable no-code work management platforms on the market, and it sits in direct competition with Monday, ClickUp, and Airtable. The core idea is to merge three things teams usually buy separately: structured data (records, 40+ field types, linked records, rollups), project execution (Grid, Kanban, Gantt, Calendar, Timeline and more), and process automation. Add SmartDocs, live dashboards, and an AI Agent Studio, and you get a single workspace that can model almost any business process. The founders previously built Archer in the GRC space, and that pedigree shows in the permissions, audit logs, and compliance posture (SOC 2 Type II, ISO 27001, HIPAA-aligned, EU data residency).
Our overall score of 3.9 is deliberately lower than the 4.9 community average, and the gap is worth explaining. The sample of independent reviews is thin (around 26 on Capterra, a small G2 footprint), so the near-perfect rating reflects a small, enthusiastic early base rather than a tested-at-scale verdict. On top of that, the mobile app is a documented weak spot, and SmartSuite's own pricing page and Help Center disagree on automation run quotas, which makes budgeting harder than it should be. None of that makes SmartSuite a bad choice. It makes it a strong platform you should evaluate with clear eyes rather than on the strength of a 4.9.

All 15 reviewers would recommend SmartSuite, and the 4.9/5 average is genuinely high, though it rests on a small, enthusiastic base rather than thousands of reviews. The praise is consistent and specific. Reviewers love how one platform replaces a database and a project tool at once, with one Director of Operations saying SmartSuite is miles ahead of Monday on data and catching up to Airtable fast. Customer support is the standout theme: multiple users call it top-notch, mention open office hours and fast chat replies, and note the CEO is active in the community. The friction points are real and recurring too. Two reviewers flag the mobile app as something that could be improved, one wants a foldering system to organize solutions once you have many, several note automations still have limitations (though one expects fixes soon), and the missing dark theme comes up. One European user loves the support but wishes for a bigger EU support team. Taken together, the reviews describe a flexible, well-supported platform that is still maturing in a few corners.
Most loved
- +One platform that merges a database and project management, miles ahead of Monday on data
- +Customer support repeatedly called top-notch, with open office hours and an active CEO
- +Fast to get started and an easy learning curve for non-technical staff

The flexibility and the ease of use. It's super quick to get started, and with powerful database-like connections and automations it really has been a game changer for our business. We use it for project management, resource management, equipment tracking, human resources and employee reviews, and dozens of internal and external forms that enter data directly where it's needed. They are miles ahead of Monday in data and project management, and catching up to Airtable fast for database capabilities. It's a snappier and smooth interface than Monday we migrated from, but not quite Asana-smooth either.

We love the ability to get data from our township residents. It easily integrates into our environment, and it also allows us to manage documents. The greatest advantage is that 1 license allows 5 "seats", so the pricing is awesome. There is also a cost savings for paying yearly but you have the option to go month to month. Only 1 is no third-party integrations. Other than that have no complaints. Its a great product.

Amazing platform, awesome mobile app, and desktop experience, great way to organize records, and multiple tables, and applications. The pricing is what ultimately made us move away from SmartSweep, but other than that, it's a fantastic platform.

This is the first time ive used it after using a suite of tools for twenty plus years. I have to say im very impressed with the capability. Is it perfect? No but then what system is? But its bloody close. Face detection and cropping on photos might be nice. But im splitting hairs, its a very good product.

The simple and easy setup. I like the interface. The color scheme missing dark theme. Extra features

I've tried a number of of the big project managment software tools to manage processes in our small business. Other project managment solutions were too complicated and had too steep a learning curve for staff to adopt successfully. Smartsuite is by far the simplest software I've tried to implement and the easiest learning curve for staff to actually use the tool. The software is equally increidbly powerful & you can develop more complicated solutions for your workflows if you wish. I love how this software sits in between a database to capture key buysiness data and a project managment software tool - I highly recommend! I wish I could bulk update certain settings within record fields across all records.
We tested SmartSuite on five criteria.
One honest score per criterion, with the wins and the catches.
Test SmartSuite: Ease of use.
SmartSuite gets the basics right. A new workspace builds from one of 200+ prebuilt Solution templates across sales, HR, IT, and finance, so you are not staring at an empty grid on day one. The Grid view will feel instantly familiar to anyone coming from a spreadsheet, and switching the same data to Kanban, Calendar, or Gantt is a couple of clicks. Several reviewers who tried the big project tools first called SmartSuite the simplest to roll out, with one small business saying staff adopted it where ClickUp and others had too steep a curve.
That said, the honesty caveat matters. The same depth that makes SmartSuite powerful is what intimidates beginners. Once you start chaining linked records, lookups, rollups, and formula fields, the surface area grows fast, and the documented learning curve is real for non-technical users. Two concrete gripes from real reviewers stuck with us. There is no foldering system to organize Solutions once you have built a dozen, so finding things gets messy at scale. And there is still no dark mode in 2026, which sounds cosmetic until your ops team lives in the tool eight hours a day. The mobile app is the bigger weak spot, slow and awkward enough that several users asked for it to be improved.
Verdict: fast and friendly for a first Solution, and a gentler entry than ClickUp for non-technical teams. The ceiling is higher than the floor, though, and the missing organization features plus a weak mobile app keep this out of the top bracket.
Test SmartSuite: Value for money.
SmartSuite's pricing is reasonable on paper and genuinely generous at the free end. The Free plan is $0 forever for up to 3 editors, 5 Solutions, 1,000 records per Solution, and 100 automation runs a month, more than enough to model a real workflow before paying. Paid plans on annual billing run Team at $15 per seat per month, Professional at $32, and Enterprise at $50. Monthly billing adds roughly 30% across the board.
Here is where it gets bumpy. Professional has a 5-seat minimum, so the real entry point for field-level permissions and serious automation is about $160 per month, which is a lot for a small team that just outgrew Free. And there is a documented data-quality problem you should know about before you budget: SmartSuite's own pricing page and Help Center disagree on automation run quotas. The Help Center lists 5,000 runs a month on Team and 50,000 on Professional, while the pricing page shows 25,000 and 100,000. That is not a rounding error, it is a 5x to 2x gap on a headline number, and it makes it genuinely hard to know what you are buying. Verify the exact quota at checkout or with sales.
Against the field, value is competitive but not a knockout. SmartSuite is cheaper than Monday at comparable tiers and bundles database power that would cost extra elsewhere. It is pricier than a bare Airtable seat if all you need is a database, and the 5-seat Professional floor stings for very small teams. Note that several aggregator sites quote different numbers (you will see $10, $12, and $25 floated around), which is exactly why we anchor on SmartSuite's published plans and tell you to confirm at checkout.
Verdict: strong free tier, fair paid pricing, real value when you genuinely use the database plus automation. The 5-seat Professional minimum and the unresolved automation-quota discrepancy are the two things holding the score back.
Test SmartSuite: Features and depth.
This is SmartSuite's strongest card. You get 9 views over the same data (Grid, Kanban, Gantt, Calendar, Timeline, Card, Chart, Map and more), 40+ field types including formulas, linked records, lookups, and people fields, and no-code automation recipes that run from 100 to 250,000 times a month depending on plan. That combination of relational data plus project execution is exactly why one Director of Operations told us SmartSuite is miles ahead of Monday on data and catching up to Airtable fast. A construction reviewer singled out the Gantt charts (added in 2024) and real-time collaboration as invaluable for complex projects.
On top of the core, SmartSuite ships SmartDocs for generating professional documents from workflow data, live dashboards with charts you can embed and share with non-users, built-in time tracking, and an AI Agent Studio where agents can monitor workflows and take action on their own (not available on Free). The GRC heritage shows in the governance layer: role-based and field-level permissions, SSO and SAML on Enterprise, SOC 2 Type II, ISO 27001, HIPAA alignment, audit logs, and European data residency. For regulated teams in finance, healthcare, or education, that is a serious differentiator over lighter competitors.
The honest limits. Formula fields are weaker than Excel or Google Sheets for power users, so the heaviest spreadsheet logic can hit a wall. Automations still have gaps: one reviewer noted some essential automation features are not yet available and wanted deeper integration with outside automation platforms, while another expects fixes soon. And as a platform that launched in 2022, a few features are still maturing relative to older rivals.
Verdict: genuinely deep, and the data-plus-process-plus-docs combination is hard to match at this price. Formula power and a few automation gaps are the reasons this is a strong 4.2 rather than a top score.

Test SmartSuite: Customer support and assistance.
Support is the single most praised thing about SmartSuite in real reviews, and it earns the highest of our five scores. The word that comes up again and again is top-notch. One reviewer who has tested many no-code platforms described open office hours, quick chat replies, regular webinars, and a polite, helpful team. Another pointed out that the CEO himself is active in the community and listens to customers, with a publicly maintained roadmap of feature requests, which is rare at this size. A third said the support team does not hand out generic answers, it gives concrete steps to implement what you are trying to build.
The structure backs that up. Live chat and email support are on every plan including Free, higher tiers add 1:1 onboarding sessions and dedicated success managers, and the Help Center documentation is rated clear by reviewers. SmartSuite's growth has been driven largely by a YouTube creator and partner community, so there is a substantial video library to lean on when you are stuck. For a platform with a learning curve, having responsive humans on the other end materially lowers the risk of adopting it.
The one honest caveat comes from a European reviewer who loves the support overall but wishes for a bigger team covering the European market, a reminder that response times can vary by timezone. It is a small dent on an otherwise excellent picture.
Verdict: among the best support experiences in this category, with an unusually engaged team and CEO. The only knock is European timezone coverage, which is why this lands at 4.3 rather than higher.
Test SmartSuite: Available integrations.
SmartSuite covers the essentials with 40+ native integrations across the categories most teams need. Communication connects to Slack, Microsoft Teams, Gmail, Outlook, and Google Meet. Files link to Google Drive, Box, Dropbox, and OneDrive. Sales and CRM tie into Salesforce, HubSpot, and Intercom, and there is a native OpenAI (ChatGPT) integration plus Grammarly. A REST Developer API is available for custom work, and tools like WeWeb, Noloco, and Softr can use SmartSuite as a backend data source.
Beyond the natives, SmartSuite leans on third-party automation connectors to reach much further: Zapier, Make (1,050+ apps), Relay, Integrately, and Ply push the total reachable app count to roughly 5,000. That is a sensible strategy, but it is also the catch. A lot of what looks like broad coverage actually routes through Zapier or Make rather than a direct, native connector, which adds a paid middleman and a bit of latency. One reviewer flagged exactly this, calling out no third-party integrations as their single complaint, and the platform has fewer native integrations than more mature competitors like Monday.
The honest comparison: if your stack is mainstream (Google Workspace, Slack, Salesforce, HubSpot), you are well covered natively. If you depend on a niche tool, expect to wire it through Zapier or Make and budget for that. The REST API is there for engineering teams, but that is build-it-yourself rather than plug-and-play.
Verdict: solid native coverage for common tools and a wide reach through connectors, but the reliance on Zapier and Make for anything beyond the core, plus fewer native integrations than rivals, keeps this the lowest of our five scores.
Frequently asked questions
Is SmartSuite free to use?
Yes. SmartSuite has a Free plan that costs $0 forever and supports up to 3 editors plus 1 guest, 5 Solutions, 1,000 records per Solution, 100 MB of storage, and 100 automation runs a month. It is one of the more usable free tiers in this category and enough to model a real workflow. SmartSuite AI and custom page layouts are not included on Free. There is also a 14-day free trial of Professional features with no credit card required and up to 50 invitees, so you can test the paid feature set before committing a team. How much does SmartSuite cost per month?
On annual billing, Team is $15 per seat per month, Professional is $32, and Enterprise is $50, with a Free plan below them and a custom Signature plan above. Monthly billing adds roughly 30%. Watch the seat minimums: Team needs 3 seats, Professional needs 5 (about a $160/month real entry point), and Enterprise needs 10. One thing to verify at checkout is the automation run quota, because SmartSuite's pricing page and Help Center currently list different numbers for Team and Professional. Aggregator sites also quote varying figures, so confirm directly with SmartSuite before you budget.SmartSuite vs Monday: which one should you choose?
Choose SmartSuite if you need real database power alongside project views. It handles linked records, lookups, and rollups in a way Monday does not, and one Director of Operations in our reviews said SmartSuite is miles ahead of Monday on data. SmartSuite is also typically cheaper at comparable tiers. Choose Monday if you want a more mature product with more native integrations, stronger brand recognition, and a large template marketplace, and you do not need deep relational data. For data-heavy operations, SmartSuite wins. For a polished, widely supported project tool, Monday still has the edge.SmartSuite vs ClickUp: what are the main differences?
ClickUp is extremely customizable and popular with dev and tech teams, but reviewers regularly describe it as overwhelming, and several who tried both found ClickUp too steep for non-technical staff to adopt. SmartSuite is easier to roll out and leans harder into structured, relational data with its 40+ field types. ClickUp packs more task-management features and a bigger ecosystem; SmartSuite is the better fit when you are modelling business processes and data rather than just tasks. If onboarding speed for a non-technical team matters, SmartSuite is the gentler choice.SmartSuite vs Airtable: which is better for a database?
Airtable is database-first and more developer-friendly, with a deeper scripting and extension ecosystem, so for a pure relational database it still edges ahead. SmartSuite is catching up fast on database capability (a sentiment echoed directly in our reviews) and ships project views, automations, SmartDocs, and dashboards out of the box, where Airtable often needs add-ons or extensions for the same. If you want a database that doubles as a full work OS without bolting on extra tools, SmartSuite is the more complete package. If raw database flexibility and scripting are your priority, Airtable wins. Why is your SmartSuite score lower than the community rating?
The community average sits at 4.9/5, but our overall score is 3.9. The gap is deliberate. SmartSuite has a thin independent review base (around 26 reviews on Capterra and a small G2 footprint), so a near-perfect average reflects a small, enthusiastic early audience rather than a verdict tested across thousands of teams. On top of that, the mobile app is a documented weak spot, and SmartSuite's own pricing page and Help Center disagree on automation quotas. Our score weighs those real frictions, which a raw star average does not capture.Does SmartSuite have a good mobile app?
Not yet, and this is the platform's clearest weak spot. The iOS and Android apps are reported as slow and buggy, with field and record saving issues on mobile, and multiple reviewers explicitly asked for the mobile app to be improved. There is also no native desktop app for macOS, so on a computer you use the web version. If your team needs to do real work from phones rather than quick checks, test the mobile experience thoroughly during the free trial before committing, because it lags well behind the desktop web experience. Is SmartSuite good for GRC and compliance teams?
Yes, and this is one of its strongest niches. The founders previously built Archer Technologies in the GRC space, and that pedigree shows. SmartSuite carries SOC 2 Type II, ISO 27001, HIPAA alignment, and GDPR compliance, plus role-based and field-level permissions, audit logs, IP restrictions, SSO and SAML on Enterprise, and European data residency. For regulated sectors like finance, healthcare, and education, that governance layer is a genuine differentiator over lighter project tools that were never built with compliance in mind. What are the best alternatives to SmartSuite?
The main alternatives are Monday (more mature, more native integrations, higher cost), ClickUp (extremely customizable but can feel overwhelming), Airtable (database-first and more developer-friendly), Asana (simpler and task-centric with a shorter learning curve), and Notion (docs and wiki-first with lighter workflow automation). SmartSuite positions itself as the merger of project management, process management, and documents in one workspace, aiming to replace two or three of those tools at a lower total cost than buying them separately. How long does it take to set up SmartSuite?
Basic setup runs from a few hours to a couple of days, helped a lot by the 200+ prebuilt Solution templates that give you a working structure instead of a blank grid. More complex, connected workflows with linked records, automations, and dashboards can take a few weeks to fully configure. Several reviewers called SmartSuite the simplest of the big platforms to implement, with staff adopting it where ClickUp and others had too steep a curve. Budget more time if you are migrating data from another tool, since importing can be one of the trickier parts.
