ClickUp vs SmartSuite 2026
Short answer: pick ClickUp if your team lives in tasks, sprints, and multi-client workflows; pick SmartSuite if you need a relational database inside your project tool, or if compliance and EU data residency are non-negotiable. ClickUp scores higher overall (4.1 vs 3.9), but SmartSuite wins three of the five criteria that matter most to regulated and data-heavy teams.
Two things the stale comparison articles missed entirely: ClickUp's guest-billing reclassification silently converted org-domain guests into paid seats, with documented cost jumps of 400 to 733%. And SmartSuite's free plan is gone for new signups as of January 1, 2026, with existing workspaces locking July 1, 2026. Both change the real cost picture significantly before you sign anything.

Criterion by criterion, head to head
The same five criteria we scored on each tool's review page. Equal scores still get a clear pick.
01 Round 1: getting the first workflow live.
SmartSuite takes this 3.9 to 3.0, and the gap is real. We ran both tools with two non-technical teams, and the difference showed up in the first hour. SmartSuite's 200+ prebuilt Solution templates across HR, sales, IT, and finance mean new workspaces start from a structured template, not a blank grid. Switching the same data between Grid, Kanban, Gantt, or Calendar is a couple of clicks. Multiple G2 reviewers who had tried ClickUp first explicitly describe adopting SmartSuite because ClickUp was too steep for non-technical staff.
ClickUp's score of 3.0 is the lowest of the five for a reason. Five-level hierarchy (Workspace to Space to Folder to List to Task), 8 navigation levels, and a feature surface that one reviewer called borderline overwhelming. Our own testing across three client teams found a consistent 2 to 3 week ramp before full productivity. Once past that wall, the flexibility becomes addictive. But if a team needs to be productive in a week, ClickUp is the harder bet.
Both tools have honest weaknesses. SmartSuite has no foldering system to organize Solutions at scale, and no dark mode as of June 2026, two recurring real-user complaints. ClickUp's mobile app lags the desktop, and dashboards can feel hard for non-technical members even after onboarding.
Choose ClickUp if the team already has experience with Notion, Asana, or Monday and can absorb a 2 to 3 week ramp.
Choose SmartSuite if non-technical staff adoption is the primary constraint and day-one productivity matters more than feature breadth.
02 Round 2: where the bill actually lands.
ClickUp wins this 4.5 to 3.7, but the arithmetic is less obvious than the headline prices suggest. ClickUp Unlimited at $7/seat/mo (annual) is genuinely unmatched for entry-level breadth, and the Free Forever plan is still active for new users in June 2026. At that entry price, with unlimited tasks and 1,000 native integrations, no competitor at the same tier matches it.
The hidden cost is Brain AI. A 10-person team on ClickUp Business ($12/seat/mo) pays $120/mo base. Add Brain ($9/member/mo) and the bill becomes $210/mo, a 75% premium over the headline. Everything AI at $28/member/mo pushes it to $400/mo. That AI cost is never bundled, never optional to skip if the team uses it, and is the most-documented billing surprise in the category after the guest-seat reclassification.
SmartSuite's value picture is more honest upfront but punishing for small teams. AI is included from Team plan ($15/seat/mo), so no surprise add-on. But the Professional tier has a 5-seat minimum, creating a hard $160/mo floor even for a 3-person team. SmartSuite's free plan is gone for new signups (Jan 1, 2026), so there is no zero-cost entry path for new users in 2026. Against ClickUp's still-active Free Forever, that is a real competitive disadvantage.
Choose ClickUp if budget is the primary filter, especially for teams of 10 or fewer who will not immediately use AI.
Choose SmartSuite if the team uses AI daily and wants bundled cost certainty rather than an add-on that compounds per seat.
03 Round 3: raw power and AI depth.
ClickUp edges this 4.5 to 4.2, mainly on breadth: 15+ views, native time tracking, whiteboards, mind maps, docs, chat, goals, and capacity workload. The May 2026 Brain2 upgrade added agentic AI that executes workspace tasks rather than just answering questions, with multi-model routing (GPT-5, Claude Opus, Gemini, o3-mini) and MCP integrations for GitHub, Figma, Gmail, and Slack. For task-execution-heavy workflows, the feature surface is genuinely hard to match.
SmartSuite's 4.2 comes from a different angle: database depth ClickUp cannot replicate without custom workarounds. Forty-plus field types, linked records, lookups, and rollups model CRM pipelines, asset trackers, and HR databases natively. June 2026 updates added AI Field Agents (embed AI directly into fields for auto-classification and summaries), AI Issues Trend Analysis, a Kanban dashboard widget, and Microsoft Teams Automations v2 for Enterprise. SmartSuite also released an open-source local MCP server in June 2026, enabling AI clients to access SmartSuite data without intermediary.
Where both fall short honestly: ClickUp's Chat module is secondary to dedicated tools, and VibeUp (custom app builder) remains on the roadmap but not GA. SmartSuite's formula fields are weaker than Excel or Google Sheets for power users, and as a 2022-launched platform, a few features are still maturing relative to older rivals.
Choose ClickUp for task-execution workflows: dependencies, sprints, Gantt timelines, capacity planning, and agentic AI across a broad surface.
Choose SmartSuite for record-heavy operations: linked data, rollups, compliance-grade permissions, and AI that works directly inside field values.
04 Round 4: who answers when it breaks.
SmartSuite takes this 4.3 to 4.0, and the CEO-led community model is what drives the difference. Multiple independent G2 reviewers, including some who tested several platforms, describe SmartSuite support as top-notch, call out open office hours, fast chat replies, and a CEO who is personally active in the community with a public feature-request roadmap. That kind of hands-on founder involvement is rare at any software company, and it materially lowers the risk of adopting a newer platform.
ClickUp's 24/7 live chat on the Free Forever plan is genuinely generous and rare in SaaS, but the experience at complex issues diverges. Our own testing found escalations taking 24 to 48 hours, no phone support on any plan including Enterprise, and community answers that require patience to navigate because the docs mirror the product's own complexity. With 100,000+ community members and a 500+ article knowledge base, ClickUp is excellent for self-service teams but less suitable for teams who need hand-holding through technical issues.
Both have an honest weak spot. SmartSuite's European timezone coverage is thin, flagged by at least one EU reviewer who wants a larger dedicated EU support team. ClickUp's lack of phone support on Enterprise is the most common enterprise objection in our client advisory work.
Choose ClickUp if the team is comfortable with self-service docs, community forums, and asynchronous email for escalations.
Choose SmartSuite if hands-on onboarding, CEO-community engagement, and fast chat are high priority, especially for non-technical teams.
05 Round 5: catalog size vs native depth.
ClickUp wins this round clearly, 4.5 to 3.5. The gap is structural. ClickUp ships 1,000+ native integrations, all free even on the Free Forever plan. That includes Google Workspace, Slack, GitHub, Figma, Salesforce, and HubSpot with bidirectional sync, plus Zapier and Make to push the reachable catalog past 7,000 apps. Brain2 added MCP integrations in May 2026, so Claude, ChatGPT, and GitHub can read and write directly into ClickUp workspaces.
SmartSuite's 40+ native integrations cover the mainstream stack well (Slack, Teams, Google Workspace, Salesforce, HubSpot, OpenAI), but one G2 reviewer named missing third-party integrations as their only complaint, and that reflects the reality: anything beyond the native set routes through Zapier or Make, adding a paid intermediary. SmartSuite's June 2026 open-source local MCP server is a developer-oriented differentiator that enables AI clients to access SmartSuite data locally, but it is opt-in and technical, not a point-and-click integration.
The honest caveat for ClickUp: advanced Salesforce field mapping requires Business plan, and Zapier triggers occasionally lag 2 to 5 minutes. Some community-maintained connectors vary in quality. But the breadth advantage over SmartSuite is unambiguous.
Choose ClickUp if the stack includes niche or internal tools, or if native integrations at no extra cost across every tier matter.
Choose SmartSuite if the stack is mainstream (Slack, Google Workspace, HubSpot, Salesforce) and native coverage is sufficient without the extra Zapier layer.

Pick by scenario
Choose ClickUp if…
- Your team lives in tasks, not records: deadlines, dependencies, subtasks, sprint boards, and Gantt timelines are the daily interface
- You need the widest integration surface, 1,000+ native connections, MCP with Claude and ChatGPT, and Zapier/Make fallback
- You want agentic AI that executes work autonomously (Brain2, May 2026), just budget the $9 to $28/member/mo add-on
- You run a multi-client agency: Guest seats, native time tracking, capacity workload view, and client-facing reporting are production-ready
- Budget is the first filter: at $7/seat/mo (Unlimited), ClickUp is the most feature-complete entry point in the market with a free tier still open
Choose SmartSuite if…
- Your work is records, not just tasks: CRM-lite pipelines, asset tracking, HR databases, and linked records with rollups are the core workflow
- You are in a regulated industry: SOC 2 Type II, ISO 27001, HIPAA alignment, EU data residency (AWS Ireland), and GDPR audit coverage are non-negotiable
- You need AI without extra billing: AI Field Agents and SmartDoc AI are included from the Team plan ($15/seat/mo), no add-on
- Non-technical adoption matters more than feature breadth: multiple reviewers explicitly note SmartSuite was adopted by staff where ClickUp had failed
- You need to replace Airtable with a full work OS: 40+ field types, linked records, rollups, and 9 views give Airtable data power plus project execution in one product
Frequently asked questions
Is ClickUp cheaper than SmartSuite?
At entry level, yes: ClickUp Unlimited is $7/seat/mo vs SmartSuite Team at $15/seat/mo. But add ClickUp Brain AI ($9/member/mo, never bundled) and a 10-person Business team pays $210/mo vs $150/mo on SmartSuite Team with AI already included. For AI-using teams, SmartSuite can be cheaper at scale. ClickUp also has a guest-billing trap: guests on your org domain are auto-converted to paid seats, with documented cost jumps of 400 to 733% at renewal. Is SmartSuite still free in 2026?
No. SmartSuite's free plan was discontinued for new signups on January 1, 2026. Existing free workspaces will be locked on July 1, 2026, with data retained for six months before deletion. A 14-day free trial of Professional features (no credit card, up to 50 invitees) remains available. ClickUp's Free Forever plan is still open to new users as of June 2026.ClickUp vs SmartSuite vs Monday: which wins for mid-market teams?
For pure project execution: ClickUp edges Monday on price and feature depth. For relational data alongside projects: SmartSuite edges Monday by offering a native database layer Monday lacks. Monday wins on brand maturity and the largest template marketplace. Budget-wise: ClickUp cheapest entry ($7/seat/mo), Monday most expensive at comparable tiers, SmartSuite in between but with bundled AI and stronger compliance. For regulated mid-market teams, SmartSuite is the most defensible choice. Can you migrate from SmartSuite to ClickUp?
ClickUp supports CSV import and native importers from Asana, Trello, Monday, and Jira, but not a direct SmartSuite importer as of June 2026. Export your SmartSuite data as CSV (available before the July 1, 2026 lockout for free-plan users), then import into ClickUp. Basic migrations take 1 to 3 days; complex linked-record setups need 1 to 2 weeks of manual reconfiguration. Is SmartSuite GDPR-compliant for EU teams?
Yes. SmartSuite completed a formal GDPR audit by Prescient Assurance, offers Data Processing Agreements with standard contractual clauses, and has EU data residency on AWS Ireland (EU-West-1, active since Q3 2024). Enterprise customers can request European data hosting at contract time. ClickUp is SOC 2 Type II certified but DPAs require the Business plan ($12/seat/mo) at minimum. What is ClickUp Brain and how much does it cost in 2026?
ClickUp Brain is the AI assistant layer, upgraded to Brain2 in May 2026 with agentic capabilities: it can execute workspace actions autonomously, not just answer questions. It supports GPT-5, Claude Opus, and Gemini via multi-model routing, plus MCP integration with GitHub, Figma, Gmail, and Slack. Pricing: $9/member/mo (Brain) or $28/member/mo (Everything AI). It is never included in base plan pricing, so a 10-person Business team paying $12/seat adds $90 to $280/mo on top.Is SmartSuite good for construction, compliance, or GRC teams?
Yes, and this is SmartSuite's strongest niche. The founders built Archer Technologies, a GRC platform, before SmartSuite, and the compliance infrastructure reflects that: SOC 2 Type II, ISO 27001, HIPAA alignment, role-based and field-level permissions, audit logs, IP restrictions, SSO/SAML on Enterprise, and EU data residency. One construction reviewer praised the Gantt charts and real-time collaboration as invaluable for complex projects.ClickUp vs SmartSuite: which has better automation in 2026?
At mid-tier, SmartSuite wins on raw run volume: Professional gives 100,000 runs/mo vs ClickUp Business's 10,000. SmartSuite's June 2026 update added a Loop Over Field Values action for multi-record iteration, plus an open-source local MCP server for AI-driven automation. ClickUp's automation builder covers task-workflow logic well and scales to 250,000 runs/mo on Enterprise. For developer-oriented automation, both now offer MCP support.Does ClickUp have a guest billing trap in 2026?
Yes. ClickUp automatically converts guests who share your organization's email domain or authenticate via corporate SSO into paid limited members, even if their role feels guest-like. Documented customer cases show cost jumps of 400 to 733% appearing at renewal without prior notification. View-only guests remain free. To avoid this: use non-corporate email addresses for external collaborators, or audit your guest list before renewal. What is the cheapest ClickUp or SmartSuite plan for a freelancer in 2026?
ClickUp Free Forever (still available June 2026): unlimited tasks, 100MB storage, 100 automations/mo, genuinely usable solo. SmartSuite's free plan is no longer available for new signups as of January 1, 2026. For a paying freelancer, ClickUp Unlimited at $7/mo (annual) is the cheapest full-featured option. SmartSuite Team at $15/seat/mo requires a 3-seat minimum ($45/mo solo), making it impractical for solo use.
