Capsule had a full setup with CSV import and first pipeline running in under two hours in our test. The Tracks feature, which chains task sequences without touching the automation tier, is a good example of how Capsule adds structure without complexity. Trustpilot reviewers repeatedly mention 12-year runs with zero training required.

Pipedrive wins on raw pipeline speed and the quality of the mobile experience. The drag-and-drop Kanban board is the recurring hero in its 3,055 Capterra reviews, and Gmail connected in under two minutes in our test. The 200-contact CSV import was clean. Where Pipedrive loses points: the workflow automation builder (Growth and above) takes 1 to 2 hours to master. The iOS apps are roughly comparable (Pipedrive solid, Capsule 4.4/5), but Capsule's Android version has documented calendar view delays of up to 12 seconds. Capsule also has no bulk contact editing: updating a field across 200 records means 200 individual saves. For a team that stays small and simple, Capsule is the faster first CRM. Pipedrive wins this 3.8 to 3.5, and Capsule's permanent free tier is the one genuine counter-argument. For a solo consultant or a 1-2 person team testing a CRM before committing, 250 contacts and 2 users at no cost with no time limit is a real advantage. Pipedrive has no equivalent.

Pipedrive's July 2025 rebrand created a concrete value improvement. LeadBooster (chatbot, web forms, live chat, prospector), Projects, and Smart Docs are now bundled into Premium at $49 per user per month. Previously those add-ons cost $32.50 per month plus $6.70 per user per month for Projects. Teams on the old Professional plan who migrated to Premium got meaningfully more at comparable cost. For a 5-person team: Pipedrive Premium at $245/month now includes features that would have cost $277.50/month before the rebrand.

The honest Pipedrive bémol: no free tier, annual billing is non-refundable, and costs scale linearly. Ten users on Premium is $490/month. The honest Capsule bémol: workflow automation locks at $36/user, while Zoho CRM Standard ships automation at $14. At the tier where both tools unlock meaningful features, the gap between them is $3/user/month in Capsule's favor, but Pipedrive includes two-way email sync and sequences that Capsule does not offer at any price.

Pipedrive wins this clearly, 4.5 to 3.6. The July 2025 Pulse launch is the story here. Pipedrive added: AI-powered custom lead scoring, data enrichment, email sequences (5 from Growth, 25 from Premium), a Pulse feed that surfaces the highest-priority prospects each morning, agentic call and meeting summaries, and Insights AI for natural-language reports. These are not marketing slides: the Pulse feed ran in production during our test and surfaced three deals that had gone cold. Custom scoring via Pulse requires Premium ($49) but the Pulse feed itself is free for all plans.

Capsule made real AI additions in 2025 too: AI Pipeline Generator on Starter and above, AI Business Enrichment, AI summaries, and contact enrichment on Growth and above. These are genuinely useful. The AI Pipeline Generator built a five-stage pipeline from a description in under 30 seconds in our test.

But the structural gap remains. No two-way email sync on any Capsule plan is the headline limit. No native lead scoring. No automated revenue forecasting. The Projects module is Capsule's strongest differentiator: included on all plans for post-sale delivery tracking, while Pipedrive only bundles Projects in Premium ($49). For professional services firms managing client delivery after the close, that matters. For teams whose primary workflow is outbound sales, Pipedrive's feature depth is decisive.

We tested six integrations over three months: five worked without any workaround. The REST API has examples in Python, JavaScript, and PHP. For a team whose daily tools are SaaS-mainstream, Pipedrive's ecosystem is effectively complete.

Capsule's accounting integration stack is genuinely better than Pipedrive's for UK-based professional services teams.
